Technical Officer (TO) Travel, who will work under the direct guidance of the Senior Officer Administration. The incumbent will assist to manage and coordinate all travel booking requests, monitor air ticket payment and flow of invoices and other travel administrative matters.
Duties and Responsibilities:
- Manage all travel booking requests:
- Manage all travel requests and allocating to implants travel staff.
- Provide the itinerary and issue air ticket.
- Ensure airfare & schedule given by travel agent is based on the ASEAN Secretariat rules.
2. Monitor air ticket payment and flow of invoices:
- Cross check invoices given by travel agent.
- Submit invoices to the respective Division.
- Ensure payment schedule.
3. Carry out administrative procedures:
- Compile travel authorization, home leave memorandum and copy of bank transfer.
- Monitor refund process.
- Ensure credit note is being issued once refund process is done.
- Perform other relevant duties as assigned by the Assistant Director, Senior Officer and/or higher authorities of the ASEAN Secretariat.
Requirements:
- Minimum bachelor degree from related discipline with a minimum five (3) years relevant work experience in travel planning, coordination and ticketing in a multinational corporation or an international organisation.
- Ability to operate on-line travel reservation system, such as the Galileo Reservation System.
- Demonstrated ability to plan and organise tasks and work flows, with proven ability for accuracy under pressure and adherence to deadlines.
- Very good oral and written communication skills and strong interpersonal skills, including experience in cross-cultural environment and international settings.
- Demonstrated ability to develop and maintain sound working relationships with stakeholders.
- Demonstrated commitment to collaborative work practices.
- Competency in computer skills with adequate knowledge of Microsoft Office and Outlook where relevant to the position.
- Sound command of English, written and spoken.
- General qualifications:
- Computer literacy and proficiency in the use of Microsoft Office tools; ability to multitask, work long and irregular hours, and perform tasks outside the usual job scope; and ability to function effectively, independently and as part of a team.
Remuneration and Benefits:
Successful candidate will be offered the post with a probation period of six months and monthly salary starting from IDR 5,000,000. There are other applicable benefits which include monthly transportation allowance, outpatient medical reimbursement, hospitalization insurance, and an annual bonus of a month’s basic salary. Upon completion of the probationary period, the candidate will be confirmed on an initial up to three-year contract, inclusive of the six-month probationary period.

Technical Officer Finance Integration, who will work under the Finance Integration Division, Finance, Industry, & Infrastructure Directorate, ASEAN Economic Community Department.
Duties and Responsibilities:
Under the direct supervision of Head of Finance Integration Division (FID), the TO will provide assistance in technical and administrative matters with respect to ASEAN finance meetings and the coordination and implementation of projects/programs in the areas of regional finance cooperation. The successful candidate shall also be required to perform protocol duties. In addition, the TO will provide economic and analytical support with regard to regional financial integration, by assisting in the preparation of discussion papers, briefs and presentation materials; management of database and meeting reports and documents; and conduct of economic and policy analysis.
Requirements:
- We are seeking qualified candidates with the following qualifications:
- At least Bachelor’s degree in Economics or Finance with strong academic records. MA or equivalent preferred.
- At least 3 years relevant working experience in conducting macroeconomic and policy research in academe or research institution.
- Those with experience in coordinating programs/projects will be given preference.
- Good English language skills;
- Proficient in Microsoft office tools (Word, Excel and Power Point) and use of statistical/economic program and software;
- Able to work independently as well as in a team in a multicultural environment;
- Able to perform coordination tasks, undertake multiple assignments, and work irregular and long hours; and
- Able to travel, as and when required.
